“Most of my life has revolved around work and community volunteerism, with little time devoted to myself. I felt as if I were trying to catch up all the time. “I work with a small grassroots organization called Bread of Life, a free food provider for low-income and homeless people in the north metro Boston area. With over 500 volunteers and only three employees, each staff member of Bread of Life wears a number of hats. Keeping track of volunteers, grant applications and reports, fundraising tasks, financial statements, mailings, reference materials, etc., has often been overwhelming.

Working with Stefanie has been a great help to me personally, to the other staff, to our office volunteers, and to my workspace — which is where the computer server is for our office. With Stefanie, I have been able to focus on fundraising by reviewing grantor files one by one, sorting, filing, eliminating some, and designating others for follow-up. This sorting process is tedious and I put it on the back burner for years, but with Stefanie’s help, we were able to do it in one session and pass along the useful information to a volunteer for follow-up and research.

Stefanie also helped me get clear on tasks, setting up Outlook for me to use as a calendar and task list. She has repeatedly reminded me that getting things off my mind, into the task list, into a file, delegated to a volunteer, makes for less stress.

Stefanie helped me re-organize file folders on my desk so that files I need are accessible and nearest to me, files needed by volunteers can be accessed by them in a different location without interrupting me, and files of inactive projects are archived. Stefanie helped me set up new files of office forms, placed where volunteers can access them without needing to ask me. We also set up new files of tasks that volunteers can do without needing to ask me.

The immediate result is a more organized, more calm, more focused work environment for all. The long-term benefits are that our fundraising efforts are seeing less details falling through the cracks. Our grant writing and tracking deadlines are back on track. Our office processes for staff and volunteers are streamlined. Our communication about schedules, supplies, vehicles, etc. are improved through the use of calendars and white-boards.

Working with Stefanie has ‘ramped up’ my productivity. I feel that I no longer have nagging thoughts about things I ’should do,’ but rather lists of things that I am accomplishing on a particular day, or for a particular project.
